Compare both options using the same packed goods, destination and handling scope; see Maersk’s ocean freight guide (https://www.maersk.com/logistics-explained/transportation-and-freight/2023/12/15/understanding-ocean-freight). What does DDP mean? DDP means Delivered Duty Paid. Under this trade term, the seller handles import clearance and duty to the agreed destination; name the place and confirm the full service scope before booking. Read the Incoterms comparison and ICC’s Incoterms 2020 overview (https://iccwbo.org/business-solutions/incoterms-rules/incoterms-2020/). Can I ask for sea DDP shipping? Yes. Sea DDP is an option to discuss for your specific cargo and destination. Ask for a written quote stating the agreed customs, duty, tax and delivery responsibilities, included charges and cargo acceptance. Can I request full-container delivery to a port? Yes. Send the origin, destination port, container requirement and goods to request a quote. Agree cargo acceptance, port handling and collection responsibilities in the written quotation. Which dedicated-line regions can I ask about? Ask about dedicated lines to Africa, Europe, Southeast Asia and South America. Give your exact country, postcode, goods and shipping mode. Can you quote FBA forwarding or warehousing? You can enquire about FBA forwarding and warehousing. Share the cartons and receiving instructions, and specify any storage or extra handling you need quoted. How much will shipping cost, and how long will it take? Rates and timing are quoted for your cargo, packing, route and delivery scope. Ask for quote validity, included and excluded charges, the proposed schedule and the point from which timing is counted. No general website rate or transit window replaces your written quote. What happens after I prepare a shipment request? The request stays as a draft until you send it. Open it in WhatsApp or email, or copy the text, check the recipient and shipment details, then send through that app. Can I ship batteries, liquids or other special cargo? Flag the goods and handling requirements in your enquiry. Cargo acceptance and any documents needed are confirmed for the proposed route and service before booking. Which delivery responsibilities should I compare? Compare the agreed trade term and named place, transport responsibilities, customs, duties and taxes, and final delivery. Risk and costs can transfer at different points. See the Incoterms guide and check the responsibilities in your written quotation. Which paperwork should I prepare? Start with your commercial invoice, packing list, goods description and importer details. The transport documents and any battery or origin information depend on the cargo and destination. Use the shipping documents checklist to list what you hold and what still needs confirmation. Is my cargo insured? Cargo insurance must be separately confirmed; carrier liability is not the same as cargo cover. Ask who arranges any cover, the insured value, exclusions and claim terms. See the CIF insurance explanation when comparing a sea-freight trade term. How will I receive shipment updates? The update contact and tracking arrangement belong in your shipment instructions. Ask the desk which reference applies to the booked service, who sends status updates and how to report an exception. What if a sea shipment arrives late or damaged? Keep the booking reference, delivery records, photos and packing evidence. Report the problem through the contact agreed for your shipment, within the service’s notification deadline. Review the applicable carrier and insurance claim terms and confirm any extra handling charges. Use the named place, destination and cargo details in your enquiry. Home / Shipping FAQ / Incoterms for shipping from China ## Incoterms for shipping from China A practical guide for preparing your shipment enquiry. Get a shipping quote The Incoterm you agree sets where your supplier's job ends. This guide explains EXW, FOB, DAP and DDP, and introduces CIF for sea freight. These terms sit inside Incoterms 2020 (ICC). ## What are Incoterms 2020? They are a set of eleven three-letter trade terms that clarify the tasks, costs and risks of delivering goods from seller to buyer. The ICC first published them in 1936, and UNCITRAL recognises them as the global standard. Incoterms 2020 is the ICC's most recent version. It came into effect on 1 January 2020. Always name the term and the place, such as "FOB Ningbo", and state the version. ## What does EXW mean when I buy from China? Under EXW the seller places the goods at your disposal at its premises or another named place. It does not have to load them, and it does not have to clear them for export. Check who loads the goods and who handles export clearance before you agree to EXW. ## What does FOB mean for a sea shipment from China? FOB is a rule for sea and inland waterway transport. The seller delivers the goods on board the vessel you nominate at the named port of shipment. Risk of loss or damage passes when the goods are on board the vessel. FOB suits a buyer who wants to control the carrier and see the freight rate separately. ## What does CIF include, and is its insurance enough? CIF means Cost, Insurance and Freight and is used for sea and inland waterway transport. The seller arranges and pays freight to the named destination port and contracts cargo insurance, while risk passes to the buyer when the goods are on board at shipment. Under Incoterms 2020, Institute Cargo Clauses (C) is the default insurance level; higher cover can be agreed. Compare the named ports, freight scope and insurance terms before choosing CIF or FOB. Ask for the insured value, exclusions and claims procedure, and agree any extra protection with your seller. See ICC's CIF insurance explanation (https://iccwbo.org/business-solutions/incoterms-rules/incoterms-2020/) and HMRC's Incoterms guide (https://www.gov.uk/guidance/customs-valuation/incoterms). ## What is the difference between DAP and DDP? Both are delivered terms. Under DAP the goods are placed at your disposal on the arriving means of transport, and the seller bears all risks of bringing them to the named place. DDP goes further. The seller clears the goods for import, pays duty for both export and import, and carries out all customs formalities. For EXW, FOB or DAP, agree in writing who clears the goods for import. Term | Where the seller's job ends | Other points EXW | Goods placed at your disposal at the seller's premises or another named place | Not loaded, not cleared for export FOB | Goods on board the vessel you nominate at the named port of shipment | Risk passes when the goods are on board DAP | Goods placed at your disposal on the arriving means of transport at the named place | Seller bears risks to the named place DDP | Goods cleared for import on the arriving means of transport, ready for unloading at the named place | Seller pays duty and does the customs formalities ## When does DDP suit an importer? DDP suits a buyer who wants one delivered price, such as on a first order or a delivery to a warehouse you do not control. Whoever clears the goods needs a customs ID. In the EU an EORI number is mandatory for clearing customs operations. An operator not established in the EU needs one to lodge customs declarations. For goods moving between Great Britain and another country, you may need a GB EORI. In the US, an importer needs an importer of record (IOR) number to make entry. It is an EIN, an SSN or a CBP-assigned number, set up on CBP Form 5106. Agree who is named as importer before you book. ## Can I ask for sea DDP? Yes. Sea DDP is an option to discuss for your cargo and destination. Ask for a written quote that states the agreed customs, duty, tax and delivery responsibilities, the included charges and cargo acceptance. ## What should I put in my quote request? Put the Incoterm and the named place first. Then give the origin, the destination country, city or port, the delivery postcode if you have one, the mode and delivery scope, the commodity, the number of packages, the packed gross weight and the dimensions per package. Add a requested date or any special handling, such as batteries or liquids. Build your message on the shipping quote page, then choose “Open WhatsApp draft”, review it in WhatsApp and send it there. Choose "Sea DDP enquiry" to ask about the responsibilities and charges included. ## Sources ICC — Incoterms rules (https://iccwbo.org/business-solutions/incoterms-rules/) ICC — Incoterms 2020 (https://iccwbo.org/business-solutions/incoterms-rules/incoterms-2020/) ICC — Incoterms 2020 launch-date announcement (https://iccwbo.org/media-wall/news-speeches/icc-announces-launch-date-incoterms-2020/) HMRC — Incoterms (https://www.gov.uk/guidance/customs-valuation/incoterms) European Commission — Economic Operators Registration and Identification number (EORI) (https://taxation-customs.ec.europa.eu/customs/customs-procedures-import-and-export/customs-operations/economic-operators-registration-and-identification-number-eori_en) GOV.UK — Get an EORI number (https://www.gov.uk/eori) CBP — Importer Create/Update Identity (CBP Form 5106) FAQ (https://www.cbp.gov/trade/programs-administration/entry-summary/cbp-form-5106/importer-createupdate-identity-5106-faq) ## Have your cargo details ready? Home / Shipping FAQ / Documents for shipping from China ## Documents for shipping from China A practical guide for preparing your shipment enquiry. Get a shipping quote Match the goods, packing, importer and transport records before dispatch. This checklist explains the documents and the questions to settle for your destination. ## Which documents does a shipment from China need? A commercial invoice, packing list and the relevant sea or air transport record form the starting set. Check the destination’s exact requirements with the importer or broker. For lithium batteries, request the applicable UN 38.3 test summary and ask whether the chosen channel requires a safety data sheet. For US entry, 19 CFR 142.3 (https://www.ecfr.gov/current/title-19/chapter-I/part-142/subpart-A/section-142.3) sets out entry documentation, evidence of the right to make entry, a commercial invoice subject to specified exceptions, a packing list where appropriate, and other shipment-specific requirements. Ask your importer or broker which procedure and documents apply. Document | What it does Commercial invoice | Values the goods for entry Packing list | Lists packages, weights and dimensions Bill of lading (sea) | Can serve as evidence of the right to make entry for sea cargo Air waybill (air) | The contract of carriage between the shipper and the airline Certificate of origin | States the country of origin under the applicable origin rules Safety data sheet | Hazard and handling information for the goods UN 38.3 test summary | Information on the applicable lithium battery type test results; ask the maker or distributor for the summary EORI number | Registration number for EU customs operations; UK imports may need a GB EORI Importer identity number (US) | An EIN, an SSN or a CBP-assigned number, recorded on CBP Form 5106 ## What has to be on the commercial invoice? Enough for customs to value the goods and match them to the packing list. For US entry, a commercial invoice is normally part of the entry documentation. A pro forma invoice or other acceptable document can replace it only under the exceptions specified in the customs rules; ask your importer or broker whether an exception applies. For the UK, the value you declare helps work out the duty and VAT you pay. Ask your supplier for one invoice per shipment, matching the packing list, with the description, quantities, weights, currency and Incoterm. Ask the importer for the HS or commodity code and any destination-specific invoice fields. ## Who issues the bill of lading or the air waybill? For US imports by common carrier, a bill of lading or air waybill can provide evidence of the right to make entry, subject to the holder and endorsement conditions in 19 CFR 141.11 (https://www.ecfr.gov/current/title-19/chapter-I/part-141/subpart-B/section-141.11). The air waybill is the contract of carriage between the shipper and the airline. Under EXW or FOB, ask who holds the bill of lading and when it reaches you. Under DDP, ask who is named as importer. Ask the importer or broker to confirm who makes entry and which documents establish that party’s right to do so. ## When do you need a certificate of origin? A certificate states the goods’ origin for customs or other trade requirements. In China, exporters or producers can apply directly, or through an authorised agent, to Customs or CCPIT and its local organisations. China’s export origin-certificate rules (https://www.mofcom.gov.cn/zcfb/zgdwjjmywg/art/2024/art_f3ed7b70e271489fa4a77e4a0b46a749.html) set out these issuing bodies and applicants. For a shipment to Chile or Peru seeking FTA tariff treatment, ask which origin rule and preferential proof apply; CCPIT lists preferential certificate forms and application steps (https://co.ccpit.org/front/aboutCO). Agree the required proof with your supplier and importer before dispatch. ## What documents do batteries need? Request the applicable UN 38.3 test summary for lithium cells and batteries. Ask whether your channel requires a safety data sheet. Lithium batteries can be carried by air depending on configuration and watt-hour rating (rechargeable) or lithium content (non-rechargeable). The IATA guidance describes the test-summary availability requirement for cells and batteries manufactured after 30 June 2003, with an exception for button cells installed in equipment. Cells and batteries shipped by themselves are forbidden as cargo on passenger aircraft unless the relevant authorities approve. Standalone lithium-ion cells and batteries normally must be at no more than 30% of rated capacity; shipping above 30% requires approval from both the State of Origin and the State of the Operator in accordance with Special Provision A331. From 1 January 2026 the 30% limit also applies to lithium-ion batteries packed with equipment (under Section II of Packing Instruction 966, those above 2.7 Wh), unless the relevant states approve otherwise. Ask the desk which documents the specific channel needs before booking. ## How should I describe a battery shipment? Identify the chemistry and whether batteries are installed in equipment, packed alongside the equipment they power, or shipped on their own. IATA’s 2026 guidance distinguishes standalone lithium-ion batteries (UN 3480) from those packed with or contained in equipment (UN 3481); lithium metal uses UN 3090 and UN 3091 respectively. A power bank is classified as a battery, rather than as equipment containing one. Send the battery model, configuration, watt-hour rating or lithium content as applicable, quantities and available test summary. Ask a qualified shipper to confirm the classification, packing instructions, state-of-charge restrictions and documents for the actual service. Use IATA’s 2026 battery guidance (https://www.iata.org/contentassets/05e6d8742b0047259bf3a700bc9d42b9/lithium-battery-guidance-document.pdf). Confirm the packing instruction and acceptance with the qualified shipper for your exact service. ## Which other goods should I flag before requesting air or express? Describe aerosols, perfume, paint, solvents and dry ice as well as batteries. FedEx’s US dangerous-goods guide (https://www.fedex.com/en-us/service-guide/dangerous-goods/how-to-ship.html) gives these as examples and describes service and destination restrictions. Ask the maker for relevant safety information and confirm classification and acceptance for your exact cargo, route and service. ## What should I provide for branded goods? Identify the brand and supplier, keep purchase records, and ask your importer or adviser what evidence of authenticity or permission is needed for the destination. UK government intellectual-property guidance (https://www.gov.uk/using-somebody-elses-intellectual-property) explains permission to use protected rights. Requirements depend on the rights and market. Confirm the product rights and import permissions with your importer before booking. ## Which documents should I check for Singapore? Ask the Singapore importer whether the goods are controlled or dutiable, which import permit or exception applies, and who prepares the invoice, packing list and transport record. Singapore Customs’ import-permit guide (https://www.customs.gov.sg/doing-business/import-operations/import-procedures/types-of-import-permits/) distinguishes permit types and exceptions. Its clearance-documents guide (https://www.customs.gov.sg/doing-business/import-operations/import-procedures/documents-for-clearance-of-goods/) separates containerised sea, air and land cargo from conventional or hand-carried goods. Confirm what must be presented at the checkpoint for your cargo and permit conditions before dispatch. ## Which importer ID do you need at destination? It depends on the country of import. In the EU an EORI number is mandatory for customs operations, and an operator with no EU establishment needs one to lodge customs declarations. In the UK you may need a GB EORI to move goods between Great Britain and another country. If you cannot apply yourself, you can appoint someone to deal with customs for you, and they get the EORI instead. In the US the importer identity number is an EIN, an SSN or a CBP-assigned number. Give the importer name and number to your supplier, so the invoice and packing list carry them. Use the shipping quote page to draft your cargo details and list the documents you hold or still need. Choose “Open WhatsApp draft” to review and send the message in WhatsApp. See customs and agency enquiries for the steps to discuss for your route. ## What should I check about timber packing in a sea container? Describe timber or bamboo packaging and dunnage separately from the goods. For Australia, use DAFF’s timber-packaging guidance (https://www.agriculture.gov.au/import/goods/timber-packaging/ispm-15) to check ISPM 15 or any accepted treatment alternative and the required records. For New Zealand sea containers, MPI’s container import steps (https://www.mpi.govt.nz/import/border-clearance/containers-and-cargo-border-clearance/steps-to-importing-containers-and-cargo) cover wood packing, quarantine declarations and transitional-facility arrangements. Ask the destination importer or broker to identify the applicable conditions and organise clearance before the container leaves. ## Sources China Customs — Export origin-certificate measures (Order 270) (https://www.mofcom.gov.cn/zcfb/zgdwjjmywg/art/2024/art_f3ed7b70e271489fa4a77e4a0b46a749.html) CCPIT — Origin certificates and applications (https://co.ccpit.org/front/aboutCO) eCFR — 19 CFR 142.3, entry documentation (https://www.ecfr.gov/current/title-19/chapter-I/part-142/subpart-A/section-142.3) IATA — e-freight / e-AWB (https://www.iata.org/en/programs/cargo/e/efreight/) ICC — Certificates of origin (https://iccwbo.org/business-solutions/certificates-of-origin/) IATA — Lithium Battery Guidance Document (https://www.iata.org/contentassets/05e6d8742b0047259bf3a700bc9d42b9/lithium-battery-guidance-document.pdf) European Commission — Economic Operators Registration and Identification number (EORI) (https://taxation-customs.ec.europa.eu/customs/customs-procedures-import-and-export/customs-operations/economic-operators-registration-and-identification-number-eori_en) GOV.UK — Get an EORI number (https://www.gov.uk/eori) CBP — Importer Create/Update Identity (CBP Form 5106) FAQ (https://www.cbp.gov/trade/programs-administration/entry-summary/cbp-form-5106/importer-createupdate-identity-5106-faq) GOV.UK — Import goods into the UK (https://www.gov.uk/import-goods-into-uk) IATA — Lithium batteries (https://www.iata.org/en/programs/cargo/dgr/lithium-batteries/) ## Have your cargo details ready?
